Is Gmail good enough for a business?

A free or home email account is fine for family. For a business, it has real costs. Customers trust it less. Only one person can use it. Spam filtering and sign-in protection are basic. If that person leaves, your customer history leaves with them.

Email on your own domain fixes all of that. The business owns every mailbox, you decide who has access, and you can take that access away the moment someone leaves.

What you get

What business email gives you that a personal account does not.

/01

Looks professional

[email protected] tells customers you are an established company. A Gmail address makes them wonder.

/02

Strong spam filtering

Spam, scams and infected attachments are filtered out before they reach anyone's inbox, so your staff see less junk and fewer traps.

/03

Locked-down sign-in

Two-step sign-in and alerts on suspicious logins, so a stolen password alone does not open a mailbox.

/04

Shut off access instantly

When someone leaves, we lock their account the same day. Their mail stays with the business and can be passed to whoever takes over.

/05

The business owns the data

Every mailbox, contact and message belongs to the company. You decide who has access, what they can see and how long mail is kept.

/06

Shared mailboxes

info@, sales@ and support@ that several people can read and answer. Anyone on the team can pick up a customer conversation where it left off.

/07

Distribution lists and calendars

One address that reaches a whole team, shared calendars for booking clients, and a company contact list everyone can use.

/08

Compliant mass mailing

Send newsletters and offers to your customers from your own domain, with unsubscribe handling built in, and see who opened and clicked.

Security first

How do we keep spam and scams out?

Most break-ins at small businesses start with one email: a fake invoice, a bogus password reset, a link to a look-alike login page. We filter that mail out before staff see it, lock sign-ins behind a second step, and set up your domain so nobody else can send mail pretending to be you. We can look after your email day to day as part of managed IT, and our cybersecurity work goes further.

The technical details

We set up Google Workspace or Microsoft 365 on your domain, whichever fits you better. We add the domain records that stop your mail landing in spam and block others from faking your address (SPF, DKIM and DMARC), turn on two-step sign-in, and set up your phones, Outlook or Gmail apps.

FAQ

Common questions

How do I get an email address with my business name?

You need a web address (a domain) for your business, and an email service set up on it. We handle both: we check that you own the domain, set up the mailboxes and connect them to your phones and computers. Your people then use [email protected].

Is Gmail OK for a business?

It works, but it is a personal account. The business does not own it, you cannot share a mailbox across staff, and if an employee leaves, their mail and contacts go with them. Customers also tend to trust a company address more.

What happens to an employee's email when they leave?

We switch off their access, so they can no longer sign in from any phone or computer. Their mailbox stays with the business. We can forward new mail to a colleague or give someone else access to the old messages.

Can I send newsletters and promotions from my business email?

Yes, the right way. A personal Gmail account limits how many people you can email in a day, offers no open or click tracking, and bulk sends from it tend to land in spam or get the account blocked. We set up a proper sending service on your domain, with unsubscribe links and the records that keep you within anti-spam law, so your mail arrives and you can see who opened and clicked.

Why does my business email go to spam?

Usually the domain is missing the settings that prove your mail is really from you. We set those up correctly when we build your email, and we can fix them on an existing domain too.

How much does business email cost per user?

It depends on how many people and mailboxes you need, and which service suits you best. We quote the full cost up front, before anything is changed.
